Frequent Questions and Answers |
Q: Is the Minnesota Chamber Ensemble™ willing to play outdoor events? A: Yes, however, special consideration is needed for climate and amplification purposes. In the event of rain, high winds or temperatures below 60 degrees F or above 90 degrees F, the artists must be adequately protected from the elements or they must be allowed to perform indoors or under a tent. Artists must be protected from direct sunlight (because of the possibility of damage to instruments and glare from the sun for the reading of music). Consideration must also be taken into account for the proximity of the musicians to the ceremony to ensure the ensemble is audible. |
Q: Is the Ensemble willing to perform pieces that are not found on the repertoire list? A: Yes, so long as the piece is already available for our instrumentation or that we are able to secure an arranger to arrange the requested piece. Sufficient notice is needed in order to allow the time necessary to obtain the piece or have the piece arranged. An additional fee is required to cover the costs of the music or arrangement. |
Q: Is the Ensemble willing to perform with a soloist or other instrumentalists? A: Yes, however, the addition of extra rehearsal time to meet and rehearse with the soloist or instrumentalist requires an additional fee. |
Q: What is the musician’s attire? A: Formal concert black for wedding ceremonies and formal concert series. At times, white and black, or black with solid colored tops is selected depending on the occasion, venue or season. If you would prefer one of these types of attire over another, please specify. |
Q: How many breaks will the musicians need? A: Approximately 10-15 minutes for every hour of performance time. |
Q: Do the services include attendance at the rehearsal or a visit to the concert site? A: Consultations and discussion of the detailed specifics of the event can be done via phone or email. We will arrive at least 45 minutes prior to performance time in order to speak with anyone regarding specifics and to evaluate the performing circumstances for the event. Should you still feel the need for an in person appointment, and extra fee may be incurred. |
Q: Are there any special needs or supplies required for the musicians? A: The musicians each need to be provided with one straight backed, armless chair. Ample reading light or we need to have prior notification that there is only dim light so that we may supply stand lights. If the musicians are placed where their view is obstructed, someone needs to be able to cue us to ensure proper procession of events. |
Q: What is required to reserve a performance date on your calendar? A: A non-refundable deposit (the amount to be set forth in the contract), a signed copy of our contract and for weddings there is a wedding information form that needs completion to aid in the preparation and timing of each portion of the event. This needs to be returned at least on month prior to the date of the event. |
Q: When is the full fee due? A: On or before the day of the performance. |
Q: Will you perform past the originally specified time arrangements? A: If all the performers are willing and able, we will do so at the rate per extra half hour specified in the contract. |
Q: Do you have a cancellation policy? A: In the event the Purchaser cancels the performance for any reason less than 2 weeks before the date of such performance, Purchaser will pay musicians, as liquidated damages, one half of the guaranteed fee agreed to be paid for the performance. In the event the Purchaser cancels the performance for any reason less than 2 days before the date of such performance, Purchaser will pay musicians the full guaranteed fee agreed to be paid for the performance. If for reasons beyond the control of the musicians(s), we must cancel this agreement, we will make every effort to locate substitute performers. If we are unable to provide substitute performers under terms acceptable to the Purchaser, we will return the Purchaser’s deposit. |
Q: Are there any fees for mileage to a performance? A: If the distance exceeds 50 miles/one way from Virginia, MN to the performance site for any of the performers, excess mileage is incurred at a rate of $.55 per mile for each mile over 50 miles/one way, per performer. |
Q: Are your standard rates for wedding ceremony performances negotiable? A: After careful consideration of services rendered and the knowledge of competitors’ rates, our standard rates are non-negotiable. We are confident you will find our fee’s reasonable and comparable to other ensembles of equal caliber in the area. |
Q: Are your rates based on actual playing time or on the elapsed time of the event? A: Rates are based on the elapsed time of the event to be performed at. |
Q: Will my deposit check be cashed or held until the performance date? A: Deposit checks are cashed once received in order to ensure ease of balancing checkbooks and to avoid outstanding checks. Should there be a cancellation within our cancellation guidelines that require a refund, then a new check is issued through us and returned to the purchaser. |
Q: Who chooses the program? A: Unless you specify that you would like to have some input, the ensemble collaborates to plan the program according to the type of event. We have experience in planning programs, so unless there are specific pieces you would like to hear at specific times, it is not necessary for the purchaser to do any of the leg work. For wedding ceremonies there is an information sheet that needs to be returned with the contract that lets us know how many are in the bridal party so that we can plan out the timing accurately and on the information sheet there is a space to write down special requests, including music selections. |
Q: Can I request a copy of the program order? A: Yes, we can email or mail you a copy of our program. |
Q: If I choose to receive a copy of the program order, is it set in stone at that point? A: No. It is up to the discretion of the ensemble musicians to change the program. If any changes are necessary after printed programs are already in place, one of the musicians will announce the change in a formal concert series, or for a wedding a piece may be replaced with another piece, but always within the scope of the type of event the ensemble is presenting for. |
